A clean handoff checklist for custom design files

A compact workflow for passing creative work to production without losing the source or approved decision.

Package an editable source

Keep the editable master in its native format and include or properly link the assets needed to open it. Preserve vectors and live text where the recipient requires them. Make a backup before collecting files, and avoid renaming linked assets after packaging the project.

Create purpose-labelled exports

Make separate review and production exports. State the intended physical or digital size, units, colour expectations, resolution and any bleed or safe-area instructions supplied by the producer. Ask the producer to confirm the specification rather than relying on a generic online checklist.

Include an asset-rights record

List fonts, photographs, illustrations, logos and other third-party material with their sources and licences. Note restrictions and expiry dates. If permission is unclear, replace the asset or obtain confirmation before production; do not leave the recipient to infer that a downloaded file is cleared.

Make approval unambiguous

Use a version label in the filename and on the proof itself. Record the approved version, date, approver and agreed exceptions. Put superseded drafts in a clearly marked archive. The final handoff note should also name the contact for production questions and identify anything that still requires a decision.
